As a continuation of the University Library’s initiative and in preparation for the requirements of the UP Open University Digital Repository, the University Library conducted a series of workshops on Digital Repository for all UPOU offices/units from May to June 2023. Ms. Jennifer Belen-Bunao, University Librarian, served as the resource person for the workshop series.
These workshops aimed to guide the participants in identifying, classifying, and organizing physical/electronic records; equip them with knowledge of file naming conventions and the schedule of retention and disposition; and assist them in using the Digital Repository Accession Record.
The workshop series was scheduled as follows:
- For OVCAA Staff. The first part happened on 10 May 2023, from 9:00 a.m. to 12:00 p.m. Four (4) staff members from the Office of the Vice Chancellor for Academic Affairs (OVCAA) participated onsite while one (1) staff member attended the workshop via Google Meet.
- For OVCAA Units. The second part was held on 24 May 2023, from 9:00 a.m. to 5:00 p.m. at the Audio-Visual Room (AVR), UPOU Main Building. A total of 14 staff members from the Center for Open and Digital Teaching and Learning (CODTL), Office of Student Affairs (OSA), Office of the University Registrar (OUR), and University Library (UL) joined the workshop.
- For OC Offices. The third part was scheduled for the staff of the Office of the Chancellor (OC) and its sub-units/offices on 1 June 2023, from 9:00 a.m. to 5:00 p.m. at the CCDL Auditorium, UPOU. Seventeen (17) staff members from the Budget Office, Information and Communication Technology Development Office (ICTDO), Office of the Legal Counsel, Office of Public Affairs (OPA), Office of Gender Concerns (OGC), Ugnayan ng Pahinungod, and Quality Assurance Office (QAO) collaborated in the workshop.
- For OVCFA Offices. The fourth part was organized for the staff of the Office of the Vice Chancellor for Finance and Administration (OVCFA) and its sub-units/offices on 6 June 2023, from 9:00 a.m. to 5:00 p.m. A total of 12 staff members from the Accounting Office, Cash Office, Human Resources and Development Office (HRDO), Supply and Property Management Office (SPMO), and Campus Development and Maintenance Office (CDMO) attended the workshop.
- For Faculty Offices. The last part was conducted for the staff of Faculty Offices on 14 June 2023, from 9:00 a.m. to 5:00 p.m. Fifteen (15) staff members from the Faculty of Education (FEd), Faculty of Information and Communication Studies (FICS), and Faculty of Management and Development Studies (FMDS) participated in the workshop.
Through this workshop series, the staff from each office was able to identify, classify, and organize their respective files according to different types of collections. It also served as a venue for them to collaborate and consult on how to manage the documents in terms of filing and access, among others.
